Common questions
Can we try a paid plan before we commit?
Yes. Every paid plan comes with a 30-day free trial. Checkout collects a card at the start and charges it when the trial ends, unless you cancel before then. Each club gets one trial. The Free plan doesn't need a card at all.
What counts as a member?
Anyone on your roster.
Who owns the account: the club, or the person who signs up?
The club. The account, the roster, the records, and the plan belong to your club, whoever created the account. Every officer gets their own sign-in, and the club decides who holds which position.
What happens when the treasurer, or whoever set this up, leaves?
You hand the position to the next person inside LongTable, and the club keeps everything. Nothing lives in a personal sign-in. See how a handoff works, including what to do if the previous officer is already gone.
How do we move our roster over?
Upload the spreadsheet you already have (CSV or Excel). LongTable matches up the columns for you, and you review the result before anything lands on your roster.
How far does the email and text allowance go?
The numbers on each card are your club's monthly allowance, so check them before you pick a plan. Members update their own details and see the club calendar in the member portal without using any of it. That leaves the allowance for newsletters and reminders. If your club sends more than that, the next plan up raises it.
Do we need a Google account for the Google Drive features?
No, and you don't need a Google Workspace subscription either. Every plan, the Free plan included, gets its own shared drive that LongTable sets up and runs. Turning it on is one press in your settings, with no Google sign-in and no account to connect. Your club can then create Google Docs, Sheets, Slides, and Forms right inside your files, alongside anything you upload. Those files count toward your plan's storage allowance, the same figure shown on each card above.
What does it cost to collect dues?
Two fees come out of each online dues payment, and they add up. Stripe charges its fee directly to your club's own Stripe account, at its published rate: 2.9% + $0.30 per card payment, plus 0.4% per paid invoice (capped at $2). We never touch it, mark it up, or discount it. LongTable adds 3% on the Free plan and 0.5% on every paid plan. On a $50 payment, that's $3.45 in total on the Free plan, and $1.95 of it is Stripe's. On the Basic plan it's $2.20, with the same $1.95 going to Stripe. Your Stripe rate can differ on a non-US card, a bank payment, or a rate you've negotiated with Stripe directly.
Monthly or annual?
Paying yearly gets you two months free. If you're not sure the club will stick with it, start monthly. You can cancel any time from your account settings and keep access through the end of the period you paid for.
What happens if our club grows past the plan limit?
Nothing breaks. We'll let you know, and you move up a tier when you're ready. We never switch you to a higher tier or charge you for one on our own, and within a tier the price never changes with your member count.
Can we go back down to a cheaper plan?
Yes. A downgrade takes effect at your renewal date. That's when your limits drop and the paid features switch off. Your roster and history stay exactly as they are.
What if nobody renews after our officers turn over?
We notify you and give you a chance to sort it out before anything is suspended. If an account does close, your club has 90 days to download its records before that data is deleted.
Can we leave?
Any time. Download your member list, event guest lists, and payment records as spreadsheets whenever you like. Your club's records belong to your club.
